Production Planning Specialist

The mission of the Production Planning Specialist is to ensure efficient, reliable, and cost-effective production by developing and executing optimized production plans that balance machine utilization, inventory levels, and customer delivery commitments. Acting as the operational link between sales, production, procurement, and warehouse teams, the Production Planning Specialist proactively manages capacity and materials, maintains accurate master data and MRP settings, and drives continuous improvements in throughput and storage efficiency — all while maintaining high standards of communication, professionalism, and on-time execution.

RESPONSIBILITIES

 

JOB FUNCTIONS: Job functions include but are not limited to the following.

  • Maximize production efficiency and work-center utilization through data-driven planning and daily adjustments.
  • Ensure material availability and optimal inventory levels via rigorous materials planning, replenishment control, and MRP optimization.
  • Coordinate closely with sales, production, and suppliers to meet delivery dates, resolve deviations, and prioritize orders by setup and customer requirements.
  • Maintain accurate production documentation and master data to enable reliable production order processing and warehouse operations.
  • Identify and mitigate inventory risks (critical, slow- and non-moving items) while controlling storage costs.
  • Communicate clearly and professionally to build relationships across departments and support company objectives.
  • Capacity planning for the respective production work centers.
  • Daily production planning performance/target adjustment of the respective production work center, report to sales in case of deviations.
  • Arrange appointments for sales and production (considering plant capacity and components availability).
  • Optimally block orders according to set-up requirements.
  • Materials planning, and stock materials replenishment.
  • Create all production documents which are necessary for production order processing (pallet labels / production order documents etc.).
  • Report the current utilization of work centers and storage capacities.
  • Date control, with sales and suppliers.
  • Materials planning, order processing, stock materials order monitoring and replenishment control.
  • Materials planning, order processing and requirement-based order monitoring of materials.
  • Warehouse stock management at optimal costs (MRP parameter maintenance).
  • Monitor critical stock (non-moving items, slow-moving items).
  • Optimize the MRP parameters (product groups, classifications).
  • Master data maintenance (purchasing info records).

SCHEDULE DEMANDS

  • General schedule is an 8-hour M-F assignment, however, employee must be willing to work alternate schedules occasionally; that may include early mornings, nights, and/or weekends and be punctual while doing so.
  • Occasional overnight travel to include flying, driving, riding or by rail.

 

PHYSICAL DEMANDS

  • Sitting or standing for extended periods of time up to 8-hours.
  • Lifting and carrying up to 20 lbs.
  • Reading computer screen or other electronic devices.
  • Use of various office hand and electrical tools or equipment.
  • .Ability to walk for extended periods and up and down 1 flight of stairs.

 

QUALIFICATIONS

 

BACKGROUND / EXPERIENCE

  • 2–5+ years production or materials planning experience in a manufacturing environment (experience with discrete or panel/wood production preferred).
  • Hands‑on daily production scheduling and capacity planning experience for multiple work centers or a production line.
  • Strong materials planning / MRP execution skills (replenishment control, monitoring purchase orders, managing lead times and safety stock).
  • ERP experience (practical daily use of an ERP system; SAP experience strongly preferred).
  • Proven ability to create and manage production documentation (production orders, labels) and to maintain accurate master data.
  • Clear, professional verbal and written communication skills; experience coordinating with sales, production, procurement, and warehouse/operations.
  • Demonstrated record of meeting deadlines, following through on tasks, and working independently (self-starter mentality).
  • Solid Excel skills (pivot tables, lookup functions such as VLOOKUP/XLOOKUP, INDEX/MATCH) for reporting and analysis.
  • Attention to detail and ability to report and interpret work center utilization and storage capacity/stock reports.

 

EDUCATION / KNOWLEDGE

  • Bachelor’s degree preferred.
  • Self-starter and detail oriented. 
  • SAP, EWM and ERP systems experience preferred. 
  • Follow through with tasks and able to meet deadlines. 
  • Strong (oral and written) communication skills with an ability to build relationships.
  • High degree of professionalism.
  • Good time-management skills with a problem-solving attitude.
  • Experience optimizing MRP parameters (product grouping, classifications) and SKU segmentation (slow-/non-moving item handling).
  • Familiarity with Lean, Six Sigma, Kaizen, or other continuous improvement methodologies and demonstrated participation in improvement projects.
  • Prior exposure to forecasting or demand planning processes and coordination with demand planners.
  • Experience in regulated or quality-focused environments (e.g., ISO) or strong safety awareness.
