Responsibilities

  • Inventory Management: The Stores Supervisor is responsible for monitoring and managing the company's inventory levels. This includes receiving, inspecting, and documenting incoming stock, as well as organizing and maintaining the storage space.
  • Supervision and Training: As a supervisor, it is crucial to provide leadership and guidance to the storekeeping team. The Stores Supervisor must assign tasks, set performance objectives, and ensure that staff members are adequately trained in inventory management procedures and safety protocols.
  • Order Fulfillment: The Stores Supervisor plays a pivotal role in fulfilling customer orders and ensuring timely delivery. This involves accurately picking products, preparing shipment documents, coordinating with the transportation department, and monitoring order statuses.
  • Quality Control: Maintaining high-quality standards is paramount for a Stores Supervisor. They must conduct regular inspections to ensure products are stored properly, track expiration dates of perishable items, and implement appropriate measures to prevent stock damage or spoilage.
  • Documentation and Reporting: Keeping accurate records is crucial for effective inventory management. The Stores Supervisor is responsible for maintaining comprehensive documentation of stock movements, reconciling physical counts with system records, and generating reports on inventory levels, discrepancies, and trends.
  • Safety and Security: The Stores Supervisor must ensure compliance with safety regulations and security measures within the storage facilities. They are responsible for implementing and enforcing safety procedures to protect employees, equipment, and inventory.
  • Process Improvement: Continuous improvement is essential for optimizing inventory management. The Stores Supervisor identifies areas for process enhancement, streamlines workflows, and recommends necessary changes to enhance efficiency and reduce costs.
  • Supplier Management: Manage relationships with suppliers, ensuring timely delivery of maintenance-related inventory and negotiating favorable terms and prices.
  • Forecasting and Demand Planning: Analyze historical data and collaborate with relevant stakeholders to forecast inventory needs accurately. Develop and implement demand planning strategies to optimize inventory levels.
  • Compliance and Auditing: Ensure compliance with regulatory requirements and conduct regular internal audits to maintain accurate inventory records and adherence to standard operating procedures.
  • Budgeting and Cost Control: Collaborate with finance and management teams to establish inventory-related budgets. Monitor inventory costs, analyze expenditure trends, and implement cost-saving strategies without compromising quality.
  • Stay Updated on Industry Trends: Keep up to date with industry trends, emerging technologies, and best practices in inventory management to optimize processes and stay competitive.
     

Qualifications

  • High school diploma or equivalent (required).
  • Minimum of 3 years of proven experience in inventory management or store supervision.
  • Strong organizational and time-management skills.
  • Proficiency in using inventory management software (SAP MM advantageous) and other relevant computer applications.
  • Excellent communication and leadership abilities.
  • Knowledge of safety regulations, quality control, and inventory procedures.
  • Problem-solving and decision-making skills.
  • Attention to detail and accuracy.
  • Ability to work under pressure and prioritize tasks effectively.
